Getting Started with Microsoft Office Excel


Assuming that you’ve never been around the Excel area before ,and you need it in your job or your daily life , or you want to learn one of the most used Microsoft Office application , or you just someone that forgot how to use it, here we are again with another lesson Presenting you Excel’s basics .


Excel is a program that allows you to store, organize and analyze information, and if you thought that it was just used for people that deal with complicated Data, You’re wrong, because the app has so many features that you can use to your advantage like organizing a training log or creating an invoice. Excel is just a way to make your life and your work so much easier!

Excel’s Interface

If you used Excel 2010 Or Excel 2013, Excel 2016 will be a familiar space that you can easily get used to, But if you’re New to this app Then let us give you a general idea of how it looks :

  • Once you open the app, Select from the start Screen, Blank workbook to access the Excel Interface.
  • Start Clicking in different buttons to learn and get used to the surface:

Excel Environment

Let us now get to where you will find commands to perform tasks in Excel Those commands will be found In the Ribbon and Quick Access Toolbar. The backstage View Gives you options like saving, printing and sharing a document.

The Ribbon

Excel uses a Tabbed Ribbon System, The Ribbon contains Multitabs, Each with several groups of commands and those will be your way to perform common tasks.

  • Each Tab will have one or more groups :
  • Some Groups Will have an Arrow You can click for more options
  • You can also adjust how the Ribbon is displayed from The Ribbon display options

The Ribbon is made to respond to the current task, but you can choose to minimize it in case it takes too much screen space. Click at Auto-hide Ribbon

The Ribbon also contains 3 different modes we will go through every single one :

Auto Hide Ribbon: it displays your workbook in full-screen mode, To show the Ribbon again, Click “Expand Ribbon” Command :

Show Tabs: This option hides commands if they’re not in use however  the tabs will remain Visible

Show Tabs and Commands: This option maximizes the Ribbon. All of the tabs and commands will be visible. This option is selected by default when you open Excel for the first time.

The Quick Acess Toolbar

It is Just above the Ribbon, the Quick Access Toolbar lets you access common commands no matter which tab is selected. By Default, it includes the Save and Undo plus Repeat commands.

To add Commands to The Quick access Toolbar You need to follow these steps :

  1. Click the drop-down arrow to the right of the Quick Access Toolbar.
  2. Select the command you want to add from the drop-down menu. To choose from more commands, select More Commands.

Now You probably wonder about “Tell me” Space and how it will benefit your work, well Here is how to use Tell me :

Tell me is a search bar where you can quickly find commands or tools

2. The results will give you a few relevant options. To use one, click it like you would command on the Ribbon.

Worksheet views

Excel 2016 has a variety of viewing options that change how your workbook is displayed.
These views can be useful for various tasks like printing spreadsheet.
To change worksheet views, locate the commands in the bottom-right corner of the Excel window and select Normal view, Page Layout view, or Page Break view.

  • Normal View is the default for all EXCEL’s Worksheets

  • Page Layout view displays how your worksheets will appear when printed.

  • Page Break view allows you to change the location of page breaks, which is especially helpful when printing a lot of data from Excel.

Backstage view gives you various options for saving, opening a file, printing, and sharing your workbooks.

How to access Backstage View :

1. Click the File tab on the RibbonBackstage view will appear.

Click File on the Ribbon to go to the Backstage view.
